From shadow AI to secure AI at scale

KREDA, a credit union group, needed AI that could handle 200MB Excel files with macros and draft 250+ page policy documents - without any sensitive financial data ever leaving their own environment. Within the first weeks, policy drafting dropped from weeks to days, and shadow AI was replaced by a single governed platform.

KREDA operates in a highly regulated sector, which means risk, compliance and policy teams work with two things constantly: large volumes of complex financial data, and long-form regulatory documents. Internal policies routinely run to 250+ pages, and risk analysts regularly work with 200MB+ Excel files with embedded macros pulled from SharePoint. Drafting and analysis were both bottlenecks - and the most sensitive work involved client credit data that could not be sent to any external tool.

Employees had started using public AI tools on their own initiative. In a regulated financial institution, that was not sustainable: the data involved - client credit information, internal risk datasets, unpublished policies - simply could not leave KREDA’s environment. Existing tools also did not reach into the SharePoint repositories where the actual work lived, so complex Excel files and policy precedents still had to be opened and read manually.

Moterra deployed the Moterra Business AI Suite as a private AI platform inside KREDA’s own cloud environment, integrated with Microsoft SharePoint and Entra ID so that every answer respects existing permissions. Three assistants were rolled out, and every workflow is designed around a clear principle: AI drafts, humans decide.

Policy documents that used to take two to three weeks are now drafted in two to three days. Analysis of 200MB+ Excel files dropped from hours to minutes. Just as importantly, ad-hoc use of public AI tools was replaced by a single governed platform, with all sensitive data staying inside KREDA’s own infrastructure.
